Operations and Governance - Project Manager

About this Role

The Operations and Governance Specialist administers and supports the association’s work to establish and promote leadership development programs. Will coordinate multiple meetings, events, and other programs. Serves as PC on initiatives and provides general process support.

Core Responsibilities

Governance and Board Operations

  • Assist general association and Board of Director governance including, preparing agendas presentations following the provided branded template decks for meetings and leadership staff.
  • Support The Vision Council’s board operations, including meeting coordination and planning, materials development and tracking, and general support.
  • Serve as staff liaison and/or facilitator for one or more of The Vision Council’s member committees.
  • Assist in organizing and overseeing annual business meetings and quarterly board meetings (virtual and in-person).
  • Oversee various governance and compliance processes.
  • Suggest and implement process improvements and otherwise assist where needed in other aspects.

Administrative Support and Project Management

  • Provide program and project management support for various events, programs, and services.
  • Maintains a calendar of events (Board and organization)
  • Prepare presentation decks for meetings and leadership staff as needed.
  • Provide administrative and project management support to CEO and association vice presidents.
  • Ensure effective communications and information flow between senior management team and staff.

Event Planning

  • Coordinate all staff events including staff and senior leadership meetings, quarterly all-staff meetings, and charity/volunteer events and leadership councils.
  • Work with event consultant(s) and conference planners to plan and execute both virtual and in-person events. Manage logistics including contracts and hotel room blocks, food & beverage, AV and technology, entertainment, and other event logistics.
  • Provide logistics support for The Vision Council’s presence at affiliated industry events and conferences.
  • Support with program and project management for events, programs and services.
  • Other duties as assigned.

Qualifications and Attributes

  • Experience supporting senior level management and ability to work with management at all levels and across departments.
  • 3 years of project coordination/management experience.
  • At least one year of experience coordinating processes.
  • Ability to independently solve problems and accomplish objectives where pre-defined processes may be lacking.
  • Bachelor's degree preferred.
  • Proficient computer skills required including Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent verbal and written communication skills.
  • Must possess mature communications with high-level contacts and ability to maintain confidentiality on sensitive matters is required.
  • Strong work ethic, demonstrate a passion for what you do every day.
  • Must be able to handle multiple tasks and prioritize responsibilities.
  • Must have excellent follow-through, strong business acumen and demonstrate a high level of urgency and adaptability.
  • Must be an organized self-starter with the ability to handle and coordinate multiple tasks simultaneously.
  • Must have strong interpersonal, organizational skills and be detail oriented.

Pay

  • $75,000.00 - $85,000.00 per year
